The Project

Johnsons Business Moves undertook a relocation for RedX Pharma; moving them from The Royal Liverpool University Hospital to Alderley Park.

The laboratory relocation consisted of 2 phases:

  • Phase 1 – August – 25% of laboratory space
  • Phase 2 – September – 75% of laboratory space

Powered Transport Cost

A number of fridges/freezers needed to be relocated between Liverpool and Alderley Park with samples kept at specific temperatures, we therefore provided RedX Pharma with a cost option for powered transport between the two sites. Our powered transport has the ability to plug several three pin plug appliance in during transfer with the power supply run by a specialist separately run generator to the running of the vehicle. This would mean that if the vehicle broke down in between the collection and delivery address then the fridges and freezers would not be compromised.

In addition to this, we provided polystyrene sample boxes, gel packs and dry ice to pack contents into to ensure that they are kept at appropriate transfer temperatures.

Added Value

  • Due to our contract with AstraZeneca, we have worked on site at Alderley Park for over 10 years. We therefore allocated the same staff to this project, utilising the site knowledge which they had built up over the years.
  • We were able to plug in to our full time on site Account Manager who was able to assist with any unforeseen issues that arose on site.
  • Our Project Move Manager and Senior Supervisor / Backup Project Move Manager were both PRINCE2 certified, this means that every stage of the removal was carefully and strategically planned and RedX were be able to oversee the running of the project through detailed reports and feedback.
  • We employed an in-house QHSE Manager and Dangerous Good Safety Advisor who facilitated communications with both JBM’s Project Move Manger and the Relocation Manager at RedX Pharma to ensure all working activities were being carried out in line with all appropriate health, safety, environmental and quality regulations and legislation.
  • We provided in-house ADR Drivers and Chemical Transfer Specialists who were fully trained and experienced in carrying out projects of a similar scope.

The Result

Taking advantage of our site knowledge, we were able to provide a flexible and dynamic approach to completing this project. We liaised with the Building Manager throughout the process, providing regular updates and reporting in to the key stakeholders when required. Overall, the project was delivered successfully.

Testimonial

“RedX Pharma chose Johnsons Business Moves to relocate ~80 personnel and scientific equipment from Liverpool to Cheshire, and also a further 30 personnel and their equipment within the site at Cheshire. The main relocation from Liverpool was carried out in 3 phases to minimise business disruption, and the Johnsons team worked well with our own internal project team to make the overall move a success.

The 1st phase was valuable as a learning exercise for both parties, and the only major issues encountered were on this phase, proving it showed its merit as a trial. The main 2nd phase went without any significant issues, and this was a testament to the close management and supervision of the Johnsons team at both sites during the 3 days of the move, and the learning gained from phase 1. We even overcame the breakdown of a critical goods lift (twice) during that period. Johnsons came on site ahead of each phase to check loads, and communicate labelling and packaging instructions, which also made the actual move days less onerous.

One of our concerns was the ability of the team to safely handle delicate and expensive scientific equipment, and also manage the compliant transport of chemicals and biological materials. This all generally worked well, bar one item being damaged in transit, but Johnsons insurance cover picked up the cost of the repair without issue.

Redx Pharma have already considered Johnsons for additional jobs following this project.”

Cells4Life

The Project

This project involved the relocation of cryostores for Cells4life.

We relocated 17 tanks containing liquid nitrogen with stem cell samples in them, all tanks were vapour phase. We relocated 15 from Bishops Stortford and two from Rochdale.

They were all transported to our storage site in Uckfield, East Sussex. We transported two tanks per trip with one trip per day, this was to comply with insurance conditions due to the value of goods being up to £3m per tank.

The Challenge

Due to design, weight and condition of some of the tanks we were unable to use a standard forklift truck to relocate them. To overcome this we used a reinforced tail lift. This provided more stability and therefore more safety onsite.

We also used ADR compliant vehicles and utilised our in house DGSA who ensured that all elements were covered and captured prior to and during the relocation so that everything was done correctly and following guidelines. He completed specific RAMS for the logistics and answered any questions that arose throughout the planning and relocation period.

The Result

Everything went well and without any problems. We have a good relationship with Cells4Life and have now completed several projects for them. We continue to quote for and undertake work for them on a regular basis.

East and North Hertfordshire NHS Foundation Trust

Since August 2014 Johnsons Laboratory Logistics have been providing East and North Hertfordshire NHS Foundation Trust with Move Management and large scale removal services. We are the sole service provider to the East and North Hertfordshire NHS Foundation Trust and have successfully carried out a variety of moves across their portfolio. Moves range from small office relocations to large ward and department moves including an intense 14 hour/7 day a week programme to relocate all the Main Theatres from The QE2 Hospital in Welwyn Garden City to The Lister Hospital in Stevenage. This was planned and scheduled by a Johnsons Move Manager, utilising the Johnsons Removal Teams, in line with a very tight and high importance timescale to allow for services to continue throughout the period on both sites. Further managed moves by Johnsons for The Trust were; The Children’s Emergency Department, Radiology, Paediatrics, Retinal Screening, Pre-op Assessment, Ambulatory Care, Mortuary, Main Stroke Wards, Facilities, and numerous other wards from 20 to 40 beds.

To date, Johnsons have provided the Trust with the following managed services:

  • Crate hire for 10-300 staff relocations, with distribution and collection services
  • Packing and unpacking services
  • Photocopier and safe relocations
  • Laboratory equipment relocations
  • General Hospital equipment
  • Specialist Hospital equipment
  • Laboratory equipment calibration and recalibration co-ordination
  • IT decommissioning and recommissioning
  • Furniture dismantling and reassembly
  • Recycling of old FFE in line with current regulations

Our continued professional support and reliability on these jobs has resulted in a successful contract so far.

Adaptimmune

Services

  • Project move management
  • Relocation of office/write up areas
  • Relocation of laboratories (consumables, equipment and chemicals)
  • Decommissioning, relocation and recommissioning of IT
  • Packing up of laboratories contents/consumables
  • Packing up of chemicals
  • Crating up of laboratory equipment
  • Materials supply (standard crates/cages, packing protection, bespoke crates for equipment, sample poly boxes)

The Project

In May 2017, Johnsons undertook a relocation for Adaptimmune Ltd of their laboratories and offices from Park Drive, Milton Park Abingdon, Oxfordshire to their new premises on the same Science Park.

DGSA input, Chemical Packing and Relocation

Johnsons has their own internal Dangerous Goods Safety Advisor (DGSA) who oversaw the planning and delivery of items which fell in to ADR regulations. Our DGSA ensured that appropriate risk assessments and method statements were produced for all elements of the relocation including moving the 2 x CBS Isothermals which couldn’t be relocated until the liquid nitrogen levels were reduced to minimal levels for transportation.

We also provided our own ADR trained and certified staff to undertake the relocation of research/samples that fell in to ADR regulations.

Our ADR trained chemical specialist safely segregated, packed and relocated chemicals and left them within their new laboratory/area for Adaptimmune staff to unpack. To transfer the chemicals, a list for each area was collated, inclusive of:

  • Chemical name
  • Current location
  • End location
  • Quantity in millimetres/ litres or grams
  • ADR category code
  • UN classification number

IT decommissions and recommissioning

In addition to packing, moving and unpacking IT, our staff decommissioned (unplugged all cables and wiring) and recommissioned (set-up and plug-in all cables and wiring) the IT in the correct position in the new offices/laboratories.

As per discussions with the Adaptimmune IT representatives, we were required to relocate the servers, switches and racks which was included in the overall cost and was completed by the teams that we had on site.

Working with Unity (part of the Thermo Fischer Group)

As agreed, our Project Move Manager worked closely with the Unity Project Move Manager to ensure that the programme ran smoothly with no unnecessary downtime. Once all the specialist sub-contractors are booked in with Unity on specific days we added this to the main project plan and ensure that they are relocated as and when required to allow the specialists to complete their work.

The Result

Along with the large removal vehicles that we used to complete the main relocation we also utilised a smaller removal vehicle that could transfer specialist kit and high risk items throughout the process. We did this to ensure that certain risks such as insurance values were reduced as well as streamlining the decommissioning, relocation and recalibrating process by specialists as there was no waiting time for the larger vehicles to be loaded and unloaded to relocate specific items/equipment due to the smaller vehicle being on the project.

By collaborating with the specialist contractors and Unity, we were able to design a bespoke move programme which was delivered to the highest standard.
